REGISTRATION GUIDELINES

All visitors must register via email on the official website. After registration, you will receive an email containing a link to your QR code e-ticket.

Each visitor may register one accompanying guest at the same time. Both must enter the venue together; separate entry is not allowed.

Each session lasts for 45 minutes. All registered visitors must enter within their selected time slot and arrive at least 15 minutes before the session ends.

To maintain event order, the organizer reserves the right to request visitors to leave once their session ends.

The organizer reserves the right to impose purchase or entry restrictions as required by operational needs and event circumstances.

TERMS & CONDITIONS

Please present a valid QR code e-ticket on your mobile device for admission verification by the staff.

At the entrance, staff will distribute one “Flower Token” to each first-time visitor and their registered guest. Visitors can select and redeem one plush flower for free with the given token at the Flower Market. The token must be returned at the exit.

Visitors purchasing two or more plush flowers may use the Flower Token to deduct the price of one plush flower at checkout.

The Flower Token redemption is only applicable to plush flowers and does not include other products. Plush flower supplies are limited and available on a first-come, first-served basis.

The organizer is not responsible for lost or stolen gifts or tokens and will not provide replacements.

Goods sold at this event are non-refundable and non-exchangeable.

Each QR code e-ticket allows single entry only. Re-entry is not permitted after exit.

Visitors who wish to re-enter must register again to obtain a new e-ticket.

To change your visit time, please click the “Change Date / Time” link at the bottom of your e-ticket and select another available session.

Visitors who have previously visited and wish to return on a different day or at a different time can register again using the same email address; however, each email address is only eligible to receive a "Flower Token" upon their first entry.

HOUSE RULES & DISCLAIMER

No food or drinks are allowed inside the venue.

Smoking is strictly prohibited.

Dangerous items, fireworks, lasers, drones, and kites are strictly prohibited.

Unauthorized commercial activities, product distribution, street performances, or political demonstrations are prohibited.

Any commercial photography requires prior written approval from the organizer.

No pets are allowed except guide dogs or guide puppies with valid certification accompanying visually impaired visitors.

The organizer and affiliated parties are not liable for any loss, damage, or injury arising from participation or gift redemption.

The organizer reserves the right to amend these rules at any time. In case of dispute, the organizer’s decision shall be final.

In case of severe weather (e.g., Typhoon Signal No. 8 or above, or Red/Black Rainstorm Warning), the organizer reserves the right to cancel or postpone the event without prior notice.

PERSONAL INFORMATION COLLECTION STATEMENT

COLLECTION OF YOUR PERSONAL DATA

We, Pen & Paper Limited, will collect and store your personal information pursuant to this Personal Information Collection Statement (“Your Data”). It is mandatory for you to provide your personal information we required; but if you do not, we may not be able to provide you with our services and products.


PURPOSES FOR WHICH YOUR PERSONAL DATA ARE USED

The personal data collected from you in connection with your registration and attendance at Flower Market Hong Kong (the “Event”), including your first name, last name, mobile number, email address, as well as any images, video footage, or audio recordings in which you may appear, will be used by Pen & Paper Limited (the “Organizer”) for the following purposes:

a) Processing your event registration, issuing tickets, managing admission, attendance records, gift redemption, and communicating event-related information (such as confirmations, updates, or emergency notifications).

b) Managing event logistics and operations, including crowd management and safety.

c) Security and safety monitoring of the venue through closed-circuit television (CCTV).

d) Event documentation by official photographers and videographers.

e) Promotional and marketing activities of the Organizer, including the use of event photos and videos (which may contain your image or likeness) on the Organizer’s websites, social media platforms, printed materials, and other communication channels to promote current or future events and activities.

f) Any other directly related purposes.


TRANSFER OF YOUR PERSONAL DATA

Your personal data may be disclosed or transferred to the following parties for the purposes mentioned above:

• Third-party service providers engaged by the Organizer, including but not limited to ticketing and registration providers, IT and email service providers, professional photographers/videographers, marketing and social media agencies, event management vendors, and security contractors.

• Financial institutions or payment processors (if applicable) for handling payments relating to the Event.

• Government authorities, regulators, law enforcement agencies, or other parties where disclosure is required by applicable laws or regulations, or for the prevention or investigation of crime, safety, or security incidents.

• Members of the public through the publication or dissemination of event photos and videos on the Organizer’s official channels and social media platform.


VOLUNTARY PROVISION AND CONSEQUENCES OF NON-PROVISION

Provision of your first name, last name, mobile number, and email address is voluntary; however, if you do not provide the required information, the Organizer may not be able to process your registration, issue a ticket, or grant you access to the Event. By entering the venue, you acknowledge that CCTV surveillance and event photography/videography are in operation, and you consent to the collection and use of your images and recordings as described in this Statement. If you do not wish to be individually featured in close-up photos or videos where practicable, please inform our staff or the official photographer on site.


USE OF YOUR PERSONAL DATA FOR DIRECT MARKETING

If you opt-in, we will use your full name, email address and telephone number, to send you news and updates regarding the current or future events and activities organized by the Organizer in Hong Kong SAR via the communication channels you indicate such as phone call, SMS, email. We cannot use and/or transfer your personal information for direct marketing without your consent.


YOUR RIGHTS AND CONTACT US

You have the right to request access to or correction of information held by us about you. If you wish to access or correct your personal information, or to unsubscribe from direct marketing or other general enquiries, please contact us at cs@pennpaper.hk.

This Statement is written in the English language and may be translated into the Chinese language. In the event of any inconsistency, the English version shall prevail.


DATA RETENTION

Your personal data will be retained for as long as necessary to fulfil the purposes for which it was collected, and to comply with any applicable legal, accounting, or reporting requirements. After that period, the Organizer will take reasonable steps to erase or anonymise your personal data.
